Reports to: Director, Operations & Organizational Development 12-15 hours per week, hybrid

Job Purpose:

We are seeking an energized, highly organized, and detail-oriented professional to join our team. This comprehensive role combines the responsibilities of operations support with those of communications coordination. In this role, you will support our center with a wide range of tasks, including administrative duties related to Center operations, client communication and coordination of the marketing and communications strategy.

Operations Administrative Support:

  • Answer phone calls and greet clients during open office
  • Serve as primary contact for the general office
  • Assist in maintaining a professional office appearance for
  • Review and prepare training materials as
  • Purchase supplies for training interventions and special
  • Manage the HRart Center Store, merchandise purchase & sale

Client & Leadership Support:

  • Support the scheduling of speaking engagements and opportunities, including travel
  • Follow up on sent agreements and proposals and schedule client follow up sessions, as dictated by service
  • Respond to meeting inquiries via
  • Support in the scheduling and follow up of individual client appointments
  • Assist in maintaining client files, including scanning documents into the system.

Communications Coordination:

  • Audit and manage content in Buffer, creating multiple variations and adjusting the posting schedule to reflect marketing calendar
  • Audit website functionality and accuracy, working with Weblify for necessary
  • Audit and maintain campaigns in
  • Design development materials in Canva or coordinate with a designer for project assistance (e.g., workbooks, slides, worksheets).
  • Curate and manage the newsletter timeline and process in

Qualifications:

  • Genuine belief in the healing and growth of people and the role that energy plays in overall
  • Fluency in G-Suite, Slack, Asana, Zoom, and Mac Desire to learn new systems as they become important to the Center’s operations and workflow.
  • Ability and desire to work in the HRart Center on a regular
  • Demonstrated ability to deal with confidential
  • Exceptional oral and written communication skills, with proven ability to interact with clients and team members at all levels of an
  • Strong attention to detail with the ability to manage multiple work assignments and bring them to successful
  • Flexibility with schedule and the ability to perform tasks as Flex working time to assist with greeting clients when necessary.
